How much does AI automation cost for a small business in Malta?

Ask five providers and you will get five numbers that cannot be compared, because they are pricing different things. Here is how to make sense of it, and how to work out what it is worth to you before anyone sends a quote.

What actually drives the price

1. How many steps you are automating. Reading invoices is one step. Reading invoices, matching them to jobs, posting to your accounts and chasing missing ones is a chain. Price scales with the chain, not with the word "AI".

2. How messy your starting point is. Clean, consistent processes are cheap to automate. Processes that live in one person's head or change every job need to be written down first.

3. What you already run. Systems that connect to your accounting software and your messaging channels cost less than ones that need replacing.

4. Who looks after it afterwards. A system that nobody monitors fails quietly. Ongoing monitoring is a real cost and should be quoted separately and clearly.

5. Whether it is a template or a one-off. A system a provider has already delivered several times costs less to deliver than one invented for you.

The only calculation that matters

Before you compare quotes, do this on one task:

1. Pick the admin task that repeats most, for example logging supplier invoices.
2. Count how many times it happened last week.
3. Time one instance, honestly.
4. Multiply: occurrences per week x minutes x 52, divided by 60 gives hours per year.
5. Multiply by what an hour of that person costs you.

If the yearly cost of the task is smaller than the price of automating it, do not automate it. If it is several times larger, you have found your first project.

What to ask any provider

• What exactly will be running when you finish, in one sentence?
• What does it cost to run each month, and what does that cover?
• What happens when it breaks, and who is paid to fix it?
• Can I see it working for another business like mine?
• What does it cost to change it later?

If the answers are vague, so is the price.
